1. Statement of Commitment

Education Family Tutors (EFT) is unconditionally committed to safeguarding and promoting the welfare of every child and young person in our care. We recognise our moral and statutory responsibility to provide a secure online environment where students can build confidence through competence, free from harm, exploitation, or abuse. This policy is grounded in and compliant with UK statutory guidance, including: • Keeping Children Safe in Education (KCSIE) — latest edition • Working Together to Safeguard Children 2023 • The Children Acts 1989 & 2004 • The Counter-Terrorism and Security Act 2015 (Prevent Duty) • UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 This policy forms part of EFT's contractual agreement with all clients and applies to all tutors, contractors, parents, and students. It is reviewed annually and updated following any significant change to statutory guidance.

2. Scope of Policy

This policy applies to all EFT stakeholders (tutors, contractors, staff, parents, and students) and covers all aspects of service delivery, including: • Online group and 1-to-1 tutoring sessions • Academic coaching and mentorship sessions • All communication via the Student Portal, WhatsApp Business, and official EFT channels • The conduct of all tutors and staff in any context relating to their role.

3. Designated Safeguarding Lead (DSL)

The Designated Safeguarding Lead (DSL) is Neb Gashi — Founder & Lead Tutor. The DSL is responsible for overseeing safeguarding operations, providing support to staff, and liaising with statutory agencies. Responsibilities include: • Ensuring all staff receive mandatory induction and annual training • Maintaining a central safeguarding log and record retention • Coordinating with Local Authority Designated Officers (LADO) • Managing allegations against staff • Providing support for urgent safeguarding concerns. If the DSL is unavailable or implicated in a concern, contact the NSPCC Helpline (0808 800 5000) immediately.

4. Safer Online Working Practices

EFT operates entirely online. To ensure student safety, all staff must adhere to these standards without exception: • Approved Platforms Only: Sessions must only occur on EFT-sanctioned platforms. • No Private Messaging: All communication must go through official channels; tutors must never share personal contact details. • Professional Environment: Tutors must work from a neutral, quiet background and wear professional attire. • Open Door Principle: Parents are encouraged to be present in the room or have 'digital visibility' of sessions. • Screen Sharing: Tutors must only share relevant educational materials and close all unrelated tabs. • No Unauthorised Recording: Only EFT-system recordings are permitted for safeguarding purposes. • Child-on-Child Concerns: Tutors must monitor and report any signs of peer-on-peer abuse or bullying.

5. Session Recordings & Data Handling

All sessions are recorded for the safety of both students and tutors. • Safeguarding through Transparency: Recordings provide a clear audit trail and are used for quality assurance and incident investigation. • Storage: Recordings are stored securely on encrypted cloud servers with restricted access. • Consent: Participation in EFT programmes constitutes consent for recording as per our Terms of Service. • Safeguarding Records: Any recording identified as containing a safeguarding concern is moved to a restricted folder and retained as per our retention schedule (until the child's 25th birthday).

6. Reporting Procedures & Escalation

EFT maintains a zero-tolerance policy towards harm. Procedures for reporting are as follows: 6a. Immediate Risk: If a child is in immediate danger, call 999 first, then notify the DSL. 6b. Disclosures: If a child discloses abuse: Listen, stay calm, reassure them, explain you must share this with the DSL, and record exact words used. 6c. Non-Urgent Concerns: Report via the official Safeguarding Form within 1 hour of the session. 6d. Allegations Against Staff: Report immediately to the DSL. If the DSL is the subject, contact the LADO directly. 6e. Mental Health: For signs of self-harm or severe distress, follow the 3-step reporting process to ensure student support. 6f. International Students: For students outside the UK, we follow local reporting requirements while maintaining UK standards. NSPCC Helpline: 0808 800 5000 (Free, 24 hours).

7. Prevent Duty

In accordance with the Counter-Terrorism and Security Act 2015, EFT is committed to preventing people from being drawn into terrorism. • All tutors receive training to recognise signs of radicalisation and extremism. • We maintain a zero-tolerance stance on any material that promotes extremist views. • Any concerns regarding radicalisation are reported immediately to the DSL and, where appropriate, the Channel Programme.

8. Recruitment & Tutor Standards

EFT does not engage 'marketplace' tutors. Every tutor undergoes rigorous vetting before any student contact is permitted: • Enhanced DBS Check with Barred List check. • Identity and Right to Work verification. • Professional Reference checks (minimum of two). • Verification of academic qualifications. • Mandatory Safeguarding Induction covering all EFT policies.

9. Behaviour, Anti-Bullying & Whistleblowing

9a. Behaviour & Anti-Bullying: We expect respectful conduct. Bullying, harassment, or peer-on-peer abuse is strictly prohibited. Any incident will result in immediate session suspension and investigation. 9b. Whistleblowing: Staff are encouraged to report any concerns about practice or conduct within EFT. We guarantee protection from penalisation for anyone raising a concern in good faith. Contact the DSL or NSPCC Whistleblowing Advice Line (0800 028 0285).

10. Record Retention

We maintain a central safeguarding log. Data is retained according to the following schedule: RECORD TYPE | RETENTION PERIOD ------------------------------------------------ Routine Session Recordings | 12 Months Enrolment Data | Membership + 2 Years Safeguarding Records | Until child's 25th birthday DBS Records | Engagement + 6 Years Signed Agreements | Membership + 6 Years Records are maintained even if EFT ceases operation to ensure long-term student protection.
